Privacy Policy

What we collect, why we collect it, who can see it, and how long we keep it — in plain English.

Last updated 29 August 2026. This policy covers the Owens Insurance Group client app and client portal (my.owensinsurancegroup.com), the Owens Insurance Group Agent app and agent portal (agents.owensinsurancegroup.com), and this website.

The short version. We hold your insurance information so your agent can look after your coverage and so you can see it yourself. We do not sell it, we do not advertise to you, and we do not share it with anyone who is not helping with your coverage. You can ask us what we hold, correct it, or ask us to delete it — call your agent and we will do it.

What we collect

Information your agent puts on your file

When your agent sets up your account they record what they need to advise you on your coverage:

  • your name, date of birth, address, phone number and email address
  • your Medicare number, which is encrypted before it is stored — inside the app it is only ever shown as the last four characters
  • the plan or plans you hold, and the year
  • the medications on your file, where you or your agent have recorded them
  • documents on your file: photographs of your insurance card, letters, and plan paperwork
  • a record that you were shown and agreed to specific disclosures, and when

Information you give us in the app

  • questions you ask about your coverage, and the answers you were given
  • messages you send to your agent
  • photographs you take of letters or of your insurance card
  • the email address and password you sign in with

Information your phone gives us

  • a notification token, if you allow notifications, so we can send them to that phone
  • a passkey, if you turn on Face ID — see below, because this one matters
  • ordinary technical information any website receives, such as the type of browser or phone

Face ID and Touch ID never send us your face or your fingerprint. When you turn on Face ID, your phone creates a key and keeps the private half of it. Your face is checked by your phone, on your phone, and it never leaves it. We receive only the public half of the key, which cannot be turned back into anything about you.

What we do not collect

  • we do not track you across other apps or websites
  • we do not use advertising identifiers, and there is no advertising in the app
  • we do not collect your location
  • we do not sell your information to anybody, for any purpose, ever

Why we hold it, and what we do with it

Your plan, medications and documents So your agent can advise you, and so the app can answer your questions from your own plan rather than from the internet.
Your questions and messages To answer you, and so there is a record of what you were told.
Notification token Only to send you a notification on that phone.
A log of who looked at what So we can tell, if it is ever asked, who accessed a record and when.

How questions get answered

When you ask a question about your coverage, the answer is produced by automated software reading your own plan documents — the paperwork your carrier files with Medicare — together with what is on your file. It does not search the internet, and it does not use your information to train anybody's model.

If you photograph a letter, that photograph is read by automated software so we can tell you what the letter is. Both of these run inside our own infrastructure at Cloudflare.

Automated answers can be wrong, and the app says so. Anything it cannot answer is passed to your agent, who is a person.

Notifications

If you allow notifications, we send them only about your own account — that your agent has replied, or that something has been added to your file. A notification never names a medication, a doctor, a diagnosis, a plan or an amount, because a notification can be read by anyone standing near your phone. You can turn them off in your phone's settings at any time.

Who can see your information

  • Your agent, and the agency.
  • Anyone you have given family access to. You choose this yourself in the app, you can see who has it, and you can remove them at any time. Everything they do is shown under their own name.
  • Insurance carriers, where it is needed to apply for, enrol in, or service your coverage.
  • Our technology providers, who host the service on our behalf and are bound to protect it: Cloudflare (hosting), Neon (database), and our email provider.
  • Where the law requires it — for example a lawful request from a regulator, or CMS.

That is the complete list. We do not share your information with data brokers, lead generators, advertisers, or other agents.

How it is protected

  • Everything travels over an encrypted connection.
  • Your Medicare number is encrypted before it is written down, separately from the rest of your record.
  • The database enforces, row by row, that a client can only ever read their own record and an agent only their own clients — this is applied by the database itself, not left to the application to remember.
  • Access is recorded.
  • Passwords are stored only as a one-way hash. Nobody at the agency can read your password.

No system is perfect, and we will not claim otherwise. If information is ever exposed, we will tell the people affected.

How long we keep it

Insurance and Medicare rules require agents to retain records of enrolments, consents and communications for a number of years after the business is written. We keep your information for as long as you are a client and for as long afterwards as those rules require, then dispose of it securely. If you ask us to delete something we are not required to keep, we will.

Your choices

  • See what we hold. Ask, and we will tell you.
  • Correct it. Tell your agent and we will fix it.
  • Delete it. We will delete anything we are not legally required to keep.
  • Turn off notifications in your phone's settings.
  • Turn off Face ID in the app, on the Password and Face ID screen.
  • Remove family access at any time, in the app.
  • Close your account. Call us.

Children

These apps are for Medicare beneficiaries and for licensed insurance agents. They are not directed at children, and we do not knowingly collect information from anyone under 18.

Health information

Some of what we hold — your medications, your plan, the questions you ask about your coverage — is health information, and we treat it that way. Where we handle protected health information on behalf of a health plan, we do so under the agreements that govern that relationship.

Changes to this policy

If we change this policy we will change the date at the top. If a change materially affects how we use your information, we will tell you rather than relying on you to notice.
